Completing a checklist on shift

How a run works, what happens when something fails, and how to fix a mistake.

Open Checks. Everything that is due today appears here, with outstanding items at the top and the newest runs first.

The screen is designed for use on a phone or shared tablet in the middle of a busy shift — big targets, minimal typing, and clear status at a glance.

Working through a checklist

Tap any checklist to open it. You will see the full list of items.

Work through them one by one:

  • Tap an item
  • Give the required answer (tick, temperature, number, note, photo, etc.)
  • Move to the next item

Progress is saved automatically after every answer. If the tablet battery dies, the app crashes, or someone else needs the device, nothing is lost. Another person can open the same run and continue from where it stopped.

Temperature items

When an item is linked to an appliance, enter the reading shown on the probe or display. CrewByte immediately checks it against the target range set for that piece of equipment.

If the reading is within range it is marked as passed. If it is out of range you will be asked to take action (see below).

When something fails or is out of range

If you fail a normal item, you can usually continue and add a short note if needed.

If you fail a critical item, or enter a temperature that is outside the allowed range, the system blocks sign-off until a corrective action is written.

Write what you actually did, not vague future intentions:

  • Good: “Stock moved to walk-in chiller, engineer booked for Tuesday morning”
  • Good: “Food discarded, new batch prepared, probe recalibrated”
  • Bad: “Will monitor”
  • Bad: “Sorted”

A failure also automatically raises an Issue. That issue stays open and visible on the manager dashboard until someone closes it with a final comment.

Adding photos

Some items require a photo. Take a clear picture of what the item asks for (probe display, cleaned surface, stock condition, etc.). The photo is uploaded and stored securely. Location data is stripped before it is saved.

Signing off the checklist

Once every required item is complete, you will be asked to sign off the run. Type your name (or the name of the person who completed it). This creates a permanent, timestamped record of who signed and when.

After sign-off the run is locked.

Fixing a mistake

Completed and signed runs cannot be edited. This is deliberate — it protects the integrity of the record.

If something was recorded incorrectly, a Manager or Owner can void the run and give a reason. The voided run stays in the history and is clearly marked as voided. A fresh run is then created so the checks can be completed correctly.

Deleting a completed run is not possible. Removing evidence would create exactly the kind of gap that makes a temperature log or cleaning record look unreliable during an inspection.

Tips for smooth use on shift

  • Complete items as you do them rather than leaving everything until the end of the section.
  • If you are using a shared tablet, make sure you are signed in as yourself (or select your name if using a PIN).
  • If an item does not apply on that particular day, use the note field or speak to a manager rather than inventing an answer.
  • When in doubt about a temperature or a critical item, take the photo and write a clear corrective action.

The checklist is only useful if it reflects what actually happened. A short, honest record with a corrective action is far more valuable than a perfect-looking page that was filled in later from memory.

Once the run is signed off it appears in History and becomes part of the permanent record available for reports and inspections.
