What is AI?
AI stands for Artificial Intelligence.
Within CrewByte, AI is used to analyse workforce data and make intelligent scheduling recommendations based on patterns and rules configured within your business.
CrewByte does not replace managers — it assists them by creating a suggested schedule which can then be reviewed and adjusted before publishing.
How Auto-Schedule Works
CrewByte analyses several data points before generating a schedule:

Before Using Auto-Schedule
For the best results, ensure the following information is configured:
1. Employee Availability
Team members should update their availability within the CrewByte mobile app.
2. Contracted Hours
Ensure employee contracts and weekly hour limits are correct.
3. Roles & Skills
Assign appropriate roles such as:
- Team Member
- Supervisor
- Shift Manager
- General Manager
This allows CrewByte to place the correct people in the correct shifts.
4. Sales Forecasting
Input sales forecasts or allow CrewByte to generate predictions using historical data.
Auto-Schedule Rules
CrewByte follows several scheduling rules:
Management Coverage
- A Supervisor or Manager must be scheduled on all opening shifts.
- A Supervisor or Manager must be scheduled on all closing shifts.
Availability
- Employees will never be scheduled outside their availability.
Time Off
- Approved leave requests are automatically respected.
Contract Hours
- CrewByte attempts to keep employees close to their contracted hours.
Labour Budget
- The schedule aims to remain within your configured labour targets.
Fair Distribution
- Hours are distributed fairly across the team where possible.
Skill Matching
- Only employees with the required role or skill can be scheduled into certain positions.
Learning Behaviour
As CrewByte gathers more scheduling data, it begins learning your preferred patterns and previous schedules to provide increasingly accurate rota suggestions.
Generating an Auto Schedule
- Open the Rota Builder.
- Select the desired week.
- Configure labour targets and forecast data.
- Click Auto-Schedule.
- Review the generated rota.
- Make any adjustments if required.
- Click Publish Rota.
Important Information
Auto-Schedule generates recommendations based on available data and configured rules. Managers should always review schedules before publishing to ensure they align with operational requirements.
The more data CrewByte receives over time, the smarter and more accurate Auto-Schedule becomes.
